Refund Policies
Refund policies for each program are listed below. If you have any questions about these policies please contact the club treasurer.
16U / 18U Post Season Program
1. General Policy By registering for the Rock City Steel Kings High School Pre-Post Program, players and families commit to the full season. Program costs cover fixed expenses such as ice rental, tournament fees, coaching stipends, uniforms, and league registration, many of which are paid in advance and are non-refundable to the organization. 2. Refund Eligibility Refunds may only be considered under the following circumstances: • Medical Withdrawal – A season-ending injury or illness, confirmed by a licensed physician’s written statement. • Program Cancellation – If the entire Pre-Post season is canceled by Rock City Steel Kings before its official start. • Roster Spot Replacement – If the player’s spot can be filled by another player before the first scheduled game. 3. Refund Amounts • Before First Practice: Full refund, minus a $50 administrative fee. • Before First Game: 50% refund, minus a $50 administrative fee. • After First Game: No refunds will be issued, except in qualifying medical cases. • Uniform/Equipment Fees: Non-refundable once orders are placed. 4. Medical Exceptions If a player is unable to participate for the remainder of the season due to injury or illness: • A prorated refund may be granted based on the remaining scheduled games and ice sessions, minus non-recoverable expenses (e.g., uniforms, tournament fees already paid). • Requests must be submitted in writing within 14 days of the incident. 5. Refund Process All refund requests must be: 1. Submitted in writing to the Program Director. 2. Include documentation (if applicable) — medical note, proof of move, or other supporting details. 3. Reviewed within 14 business days, with decisions communicated via email. 6. No Refund Situations Refunds will not be granted for: • Voluntary withdrawal after the first game. • Suspension or dismissal due to violation of team rules or the Code of Conduct. • Missed practices, games, or tournaments for personal scheduling reasons.

Rock City Hockey Fall Preseason Program Refund Policy Registration Insurance Optional registration insurance is available to help protect families and Rock City Hockey if a player’s registration must be cancelled. Coverage, eligibility, exclusions, claim decisions, and reimbursement amounts are governed by the insurance provider’s terms. Purchasing registration insurance does not change Rock City Hockey’s refund policy. Families should review the insurance terms carefully before purchasing coverage. Program Registration Fees The $130 program registration fee is fully refundable when a player withdraws on or before the August 10 registration deadline. If a player withdraws after August 10 but before the first scheduled practice, Rock City Hockey will issue a partial refund of $80. Once the first scheduled practice has taken place, the registration fee is nonrefundable. This includes withdrawals resulting from injury, illness, scheduling conflicts, or a player’s decision not to continue participating. If Rock City Hockey cancels the program or is unable to place a registered player on an appropriate roster, the affected player will receive a full refund of the registration fee. Tournament Fees Approximately three weeks before each tournament, Rock City Hockey will send a billing announcement identifying the anticipated roster and notifying families that tournament billing is approaching. Tournament fees will generally be billed approximately two weeks before the tournament begins. A player may withdraw from a tournament without charge before billing takes place. Tournament organizers charge Rock City Hockey a fixed team fee rather than an individual player fee. Each player’s charge is calculated using the number of players committed to the tournament. For that reason, once tournament payment has been made, the fee is nonrefundable. Rock City Hockey relies on the collected payments to satisfy the team’s tournament obligation. This no-refund policy applies to withdrawals caused by injury, illness, suspension, scheduling conflicts, or other personal circumstances. If the tournament is cancelled, players who paid for that tournament will receive a full refund of their tournament fee. Refund Requests All withdrawal and refund requests must be submitted in writing to Rock City Hockey. Approved refunds will be issued to the original payment method when possible.
Rock City Premier Tryouts
The $50 tryout fee is non-refundable except in cases of documented injury that prevents participation. Documentation must be submitted prior to the tryout date. No refunds will be issued for schedule conflicts or non-attendance.
